Job Title: Communications Administrator

Location: Sykesville Maryland - In-Office (Full-Time)
Summary / Objective

AP Corp is seeking a dynamic, detail-oriented Communications Administrator to join our fast-growing team. This full-time, in-office role is pivotal in supporting our sales team by qualifying inbound leads, scheduling appointments, and ensuring timely, consistent follow-ups with prospects and customers. The ideal candidate will bring energy, professionalism, and curiosity to every interaction—offering an exceptional service experience to our clients.

Key Responsibilities

  • Answer and manage a high volume of inbound calls across our Maryland and Miami lines. Be a go-to contact for customers—sharing product info, answering questions, and helping them find the right solution quickly and professionally.

  • Qualify incoming leads based on defined criteria and route them to the appropriate sales representative. Schedule site surveys, automotive appointments, and sales calls to keep workflows efficient and customers on track. Maintain a consistent follow-up cadence with prospects through phone calls and emails.

  • Gather all required details to accurately enter leads into the CRM system and schedule sales team appointments. Monitor the CRM daily for new leads and incoming customer activity. Maintain accurate data entry and follow-up documentation. Ensure customer records are complete and meet company data standards.

Min Qualifications

  • Must be comfortable on the phone at least 20 hours per week

    • Follow up will be 6 hours of your time each week

    • Administrative Activities related to scheduling will be 6 hours of your time per week

    • Administrative Activities related to CRM will be 6 hours of your time per week

  • Must be bi-lingual (Spanish/English) Strong verbal and written communication skills.

  • Must be organized and have multitasking abilities.

  • Be curious: ask the right questions, listen intently, and seek every opportunity to serve the customer better

  • Proficiency in Microsoft Office and Hubspot CRM (Word, Excel, Outlook,)

  • Comfortable working independently and as part of a team.

  • Detail-oriented with a focus on accuracy, efficiency, and accountability.

Required Education and Experience

  • High School Diploma or equivalent.

  • Familiarity with CRM software
