Bilingual Communication Administrator
AP Corp is hiring a Bilingual Communications Administrator who keeps our sales engine moving. You’re the first voice on our phone lines, the person who turns webform and call-in inquiries into scheduled surveys, and the reason our calendars stay full and accurate. This is a full-time, in-office role in Sykesville, MD (8:30–5:00, Monday–Friday). If you can’t sustain steady phone time, keep disciplined CRM records, and manage multi-calendar scheduling, this won’t be a fit.
Day to day, you’ll qualify inbound leads against clear criteria, capture complete details, and book residential surveys on the correct Outlook calendars. As you ramp, you’ll also schedule automotive tinting appointments across our locations. You’ll work inside HubSpot all day—logging notes in real time, setting and completing tasks, preventing/merging duplicates, and sending confirmations and reminders so nothing slips. By Day 60 you’re cross-trained on residential, commercial, fleet qualification and basic automotive schedule coordination, able to support the team without hand-holding.
What you will be measured on:
• Phones and speed-to-lead: consistent coverage during business hours; return missed calls quickly; same-day follow-up on new leads
• Scheduling and accuracy: book the right appointment on the right calendar, send confirmations and reminders, handle reschedules smoothly
• CRM discipline: live in HubSpot—clean data, real-time notes, dated next steps, and zero duplicates
What success looks like in your first 60–90 days: you maintain 20+ hours/week of comfortable phone coverage with a steady, professional tone; every new lead is qualified and scheduled quickly; calendars are accurate; confirmations and reminders go out on time; and your HubSpot views are clean and current. You balance warmth with precision—ask the right questions, set clear next steps, and follow through.
What you bring
• Bilingual Spanish/English and professional phone/email communication
• Experience qualifying inbound leads and scheduling in a CRM-driven environment
• Fluency in HubSpot (or similar CRM), plus solid Microsoft Outlook calendar skills
• Organized, detail-focused work habits with reliable follow-through in a time-sensitive queue
• Comfortable with significant phone time and multi-calendar scheduling
• U.S. work authorization and ability to pass a standard background check
